Are Exam Administrators the hardest-working people on the planet?

In the last few months, I have come across a couple of scenarios where many or all of the exam administration team have suddenly moved out of the role or in some cases left the organisation or institution altogether. What causes these changes and what can we do to make the life of the exam administrator more enjoyable, rewarding and dare we say fun!

What makes a great Exam Administrator?

Over the years, it has struck me that no one goes through school, saying I want to be an exam administrator. A common observation is that people who are attracted to these roles share a desire to help others further their education and to make the process of assessment easy for the student (or candidate) to understand and follow.

As the saying goes, when an exam admin finishes the assessment season with a clean slate, then no one remembers. When something goes wrong in the scheduling and assessment execution, then no one forgets. In fact, many organisations I deal with have years and years of corporate memory, where these failures are never far from the front of mind, even if the team running this next assessment was not in the organisation at the time of the past failure. Institutions have long memories, and reputations to protect.

Once or twice a year, the exam admins are faced with the daunting task of storming and forming a high-performing team and scheduling all the pieces and contingencies necessary for a clean assessment season. When the faces in the team are familiar, and the environment and assessment process is consistent with the last time, the well-oiled machine runs well. When there are slight deviations from the last time, then chaos can ensue, and the well-being of the exam admin can suffer greatly with sleepless nights and anxiety.

Selection of the right person with an open discussion of the pros and cons of the role is essential in the hiring process.

To excel in this role, one must prioritise communication, quality, resilience, and responsiveness. The skillset of a seasoned project manager is essential, alongside the analytical acumen demanded in complex fields. Additionally, it requires the poise and determination akin to high-stakes diplomacy in navigating challenges.

They also need to be insightful, recognising the weakness in the current assessment processes and environment, combined with a passion for seeking improvements. Keeping an eye to what can be improved in the future is essential, as nothing stands and expectations of educators and students change.
